If you have the right permissions, you will always be able to simply invoice within ProPlanner. However, there is an module called 'Extended Invoicing' that offers more possibilities regarding the invoicing of a contract. Below you will find an overview of the possibilities with and without this additional module:

In the standard version of ProPlanner (without extended billing), you can:

  • Invoicing until end of contract: this immediately invoices the entire period. This is the default method if you have calculated a contract and invoice without setting specific parameters.
  • Invoicing until a specific date: On the contract, under the parameters for billing, you can choose the date until which you invoice. Then, the respective contract will be invoiced until the chosen date. For this purpose, ProPlanner will calculate the number of units (days, months, etc.) that have not been invoiced until the chosen date.
    • Example: A contract runs until 28/04/2021 and we invoice until 25/11/2020 (see screenshot)
      • If the contract starts on 01/11/2020 and has not yet been invoiced, 25 days will be invoiced.
      • If the contract starts on 10/01/2020 and has not yet been invoiced, 321 days will be invoiced.
      • If the contract starts on 10/01/2020 and has already been invoiced until 31/10/2020, 25 days will be invoiced.

If the module "Extended invoicing" has been activated, you can

  • Invoice until end of contract: see above
  • Invoicing until a specific date: just like on a one-time contract, but on all eligible contracts according to the set filters. Image with text

  • Periodic invoicing:  When invoicing periodically through the invoicerun screen, the relevant contracts will be invoiced according to the periodicity set at the contract level. On the contract itself, you will determine the next invoicing date and ProPlanner will automatically apply it when performing the invoicerun. This can be done through the following settings at the contract level:
    • Duration of a period: here you determine how many months one billing period covers
    • Pre-billing:here you determine if pre-billing is necessary, and if so, for how many periods
      • Example 1: billing takes place every month, in advance for one month
This means that the invoicerun will invoice all periods not yet billed from the beginning of the contract up to and including the period in which the invoicing date is located, and an additional 1 period.
        E.g.:
        • A contract starts on 10/01/2020
        • The contract has already been invoiced up to 09/03/2021
        • We will run the invoicerun with invoice date 30/04/2021
        • The result will be that the invoicerun proposes the following invoices:
          • An invoice for the period from 10/03/2021 to 09/04/2021
          • If the above invoice was created, an invoice for the period from 10/04/2021 to 09/05/2021 (i.e. the current period according to the invoice date)
          • If the invoice above was created, an invoice for the period from 10/05/2021 to 09/06/2021 (i.e. the following period) the following period)
          • If the invoice above was created, no further invoice proposals will be made.
      • Example 2: invoicing occurs quarterly and this is done 2 quarters in advance
This means that the invoicerun will invoice all periods that have not been invoiced yet, starting from the beginning of the contract up to and including the period in which the invoice date is located, and an additional 1 period.
        Eg:
        • A contract starts on 10/01/2020
        • The contract has already been invoiced up to 09/04/2021
        • We will run the invoicerun with the invoice date 31/12/2021
        • The result will be that the invoicerun proposes the following invoices:
          • An invoice for the period from 10/04/2021 to 09/07/2021
          • If the above invoice was created, an invoice for the period from 10/07/2021 to 09/10/2021
          • If the above invoice was created, an invoice for the period from 10/10/2021 to 01/09/2022 (i.e. the current period according to the billing date) the current period according to the billing date)
          • If the above invoice was created, an invoice for the period from 10/01/2022 to 09/04/2022 (i.e. the next period) the next period)
          • If the above invoice was created, an invoice for the period from 10/04/2022 to 09/07/2022 (i.e. If the above invoice was created, an invoice for the period from 10/04/2022 to 09/07/2022 (i.e. the second next period according to the invoicing date)
          • If the above invoice was created, no further invoice proposals will be made.

Of course, there will never be further invoicing beyond the end date of the contract.
