In preparation
  • The resource has already been planned. There is not much difference between 'in preparation' and 'confirmed'.
  • Most contracts that are booked by an external tool first come in this status. Driver2.2, Plan Manager, … In theory, someone is supposed to review these bookings and move them to 'confirmed', but that is not always done. Sometimes an automatic confirmation email is set up when the status is changed to 'confirmed'
  • At D'Ieteren, this status is called 'in preparation', while in some other ProPlanner instances it is called 'concept', but the meaning is the same.
  • When connected to a rental website, we sometimes automatically cancel draft bookings if a payment and a status change to 'confirmed' are not made on time.

Invoiced
  • Once the contract is fully invoiced, it will automatically be set to this status. Not in cases of incomplete invoicing, for example a 3-month contract where you create an invoice every month, then this status will only be applied with the final invoice.
  • At D'Ieteren, there is not much invoicing, as it is done from the DMS. So you will likely only encounter this status at ANM Rent and Raes Californiacenter at D'Ieteren. Normally, we strive to receive feedback when invoicing in an external system so that we can still set this status if invoicing is done externally. But at D'Ieteren, we do not have this feedback loop.

Completed
  • The payment status is completely independent of the contract status. Although the user is free to choose a meaning for the 'completed' status.
  • You can manually set contracts to 'completed' if they no longer require attention. ProPlanner will no longer provide warnings and such on a completed contract.
  • Sometimes there is a contract that has never undergone a check-out and check-in, but should not be removed (because the car has actually been driven). Then you should better set it to completed or ProPlanner will continue to give warnings
