The lend-out period module in ProPlanner allows you to temporarily make a resource available to another business unit. This means the same resource can be scheduled twice: once at the original location and once at the lend-out location. This increases the deployability of your fleet without additional investments.
An important advantage of this module is that lend-out periods are billable. This means that costs can easily be recharged internally. For example, a department can lend out a vehicle to another department, which then uses it, while the costs are distributed transparently. This internal invoicing is not only possible between business units, but can also be applied across group structures.
For correct operation it is necessary to use the Invoice Run that is available via the Advanced invoicing module.
To create a lend-out period, open the desired resource sheet and click on the 'Lend-out period' (1) tile. Next, choose to add a period using the '+add' (2) button.
For correctly setting a lend-out period, enter the business unit (1) and the pool (2) to which you want to lend the resource. Then select the dates of the lend-out period (3) and to which (internal) company (4) the lend-out period may be invoiced. You can also select the internal pricing (5) and the rental type (6).
Once saved, this period will be visible in three places:
- In the planning
- In the overview of the lend-out periods (Management > Fleet > Lend-out periods)
- On the resource sheet itself
There are no contracts, damage registrations, or commercial pricing structures required. Instead, a fixed daily price is used. However, it is important to create a separate rental type for lend-out periods, including its own pricing structure. Additionally, the module ensures that a resource is temporarily available at another location without this having a lasting impact on the original pool.
For correct administration, the resource must be placed in the right pool via a transfer booking.
The lend-out period module is a powerful solution for organizations that want to utilize their resources optimally and at the same time achieve a transparent distribution of costs. It prevents downtime, increases efficiency, and makes internal settlement simple and clear.
